1) How does a new user log on to FedTrip?

  • Web base log in: www.fedtrip.gov
  • Agency Name: faatc (FedTrip is not case sensitive)
  • Member Login: selfsetup
  • Password: Do not enter a password the first time
  • Click on Main Menu
  • Personal Information Screen: All of the fields are required to be completed before a new user can enter the system to use FedTrip.
  • At the bottom, complete the Login and Password information (You MUST create a new Member ID and password. Re-enter your password to verify.)
  • Click on continue


2) How would a traveler then authorize someone as his travel planner?

  • From the Main Menu under Traveler
  • Click on View or Edit Traveler Profile
  • Click on Travel Settings
  • Scroll down to Travel Planner, in the Add Travel Planner box, add the travel planner’s log in name (first name”.”last name). You can add multiple travel planners in this box.
  • Click on Save Changes

3) How will a travel planner arrange travel for others?

  • First, the traveler needs to add the login name of the travel planner in the traveler’s own profile
  • The travel planner should log in under his or her own name
    Under Traveler, click on Select Another Traveler
  • The names of those he/she is authorized to make arrangements for will appear in a menu
  • Highlight the name of the person they will be making arrangements for
  • When going to Start a New Trip, the travel planner’s name will appear as the Current User and the traveler’s name will appear as Reserving Travel For
  • Reservations made by the travel planner will then be for the selected traveler(s) not for the travel planner.

4) How do I make an airplane reservation in Fed Trip?

  • From the Main Menu click on Start a New Trip
    • Your trip will be created and named with the current date and time. You may want to change the name of your trip to something more descriptive (i. e.., Kansas City Office Review; Atlanta Training, Sept 13)
    • To do so click on change Trip Name.
  • Select Add Air
  • Enter the requested information (Date, Time, Departure and Arrival Cities)
    • If the option "Accept Penalty Fares" shows, please note that this option should only be used when there are no contract fares in the city pair requested. Be very careful selecting this option as most penalties apply as soon as the airline ticket is issued
  • Select Continue
  • The system will return the available flights and airfares that best match your initial request.
    • Read screen instructions carefully!
    • If a government "city-pair" contract is applicable to your trip, a red, white and blue flashing Blue and Red dollar iconicon will appear next to the schedule. This is one option that you should select to be in compliance with the GSA city-pair regulations. (Please note: Any price differential between the city-pair airfare shown and those quoted in other sources is due to federal taxes and airport fees)
    • If a government "dual fare" contract is applicable to your trip, a red, white, and blue Red, White and Blue star iconstar icon will appear next to the schedule. This is the other option that you should select to be in compliance with the GSA city-pair regulations. These fares are capacity controlled and are offered at somewhat lower fares than those mentioned above, which include last seat availability.
    • Matching or lower government "me-too" airfares are also listed and noted with a green triangle Green triangle iconicon. In order to use these fares, you must have authorization and be prepared to give an exception code. These fares may require advance purchase. Be sure to click on RULES and read restrictions before you reserve.
  • Once you have decided on your schedule, click on Reserve next to your desired itinerary to book your flights.
  • Your reservation is confirmed!
  • Tickets are issued 2 business days (excluding Saturday and Sunday) before travel. NON-contract fares may require advance purchase be sure to check fare rules before you submit for purchase. Additional fees may apply if changes/cancellations are necessary AFTER you submit for purchase. You must "Submit for Purchase" for a reservation to be ticketed.
5) How do I add a rental car to my trip?
  • If you need to add a car rental to your reservation, please click on Add Car Picture of a blue car..
    • The fields on the car request screen will be pre-populated with the information from your booking.
    • Click on Continue if no changes need to be made.
  • The companies with available cars will be displayed in order from the lowest price to the highest. The government rates will be signified with the red, white and blue flashing Blue and Red dollar icon icon.
  • To reserve a car, please read the instructions at the top of the page and click on the Reserve icon next to your desired option.
  • The system will display a complete itinerary for your review including confirmation numbers.

6) How do I add a hotel room to my trip?

  • If you need to add a hotel reservation to this trip, please click on Add Hotel Picture of a hotel bed..
  • The fields on the hotel request screen will be pre-populated with the information from your booking. Please read the on-screen booking instructions very carefully and complete the required fields. Once you have completed your selection criteria, click on Continue.
  • The system will only return the hotels with available rooms that best meet your search criteria.
  • Please read the on-screen instructions very carefully.
  • To view actual rates, click on Rates.
  • The system will return the available rates and signify the government rate with the red, white and blue flashing Blue and Red dollar icon icon. Before selecting a rate, please verify that this rate is within the government per diem. If you select a rate lower than the government rate, please be sure to read the rules to determine any applicable penalties.
  • Once you have determined your desired rate, click on Reserve.
  • The system will display a complete itinerary for your review including confirmation numbers.

7) How do I cancel a Trip?

  • From the main menu, select View or Edit an Existing Trip
  • Fedtrip will display all of your current bookings
  • Click on the "Trip Name" of the trip you wish to cancel
  • Fedtrip will display you complete itinerary
  • Click on the "Modify Trip" icon located at the top, center of the screen
  • Fedtrip will return one or all of the following options:
    • Cancel Entire Trip
    • Modify or Cancel Air Reservations (only if air is reserved)
    • Cancel All Air Reservations (only if air is reserved)
    • Modify or Cancel Car Reservations (only if a car is reserved)
    • Cancel All Car Reservations (only if a car is reserved)
    • Modify or Cancel Hotel Reservations (only if a hotel is reserved)
    • Cancel All Hotel Reservations (only if a hotel is reserved)
  • Click on "Cancel Entire Trip", or the option that best meets your needs,
  • Click on "Cancel this Trip"

8) How do I purchase my tickets?

  • Once you itinerary is complete and you are ready to finalize your reservation for ticketing, please click on Submit for Purchase Picture of a blue dollar sign.
  • Review the purchase information and be sure to complete each of the required fields denoted with a red asterisk.
  • Click on Continue.
  • The system will query the database and advise you of the booking status on the screen.
