Do I use GovTrip if I am traveling on the FAA Air Shuttle Service, which runs between Reagan National Airport and the William J. Hughes Technical Center?
Yes, travelers using the FAA Air Shuttle must complete a travel authorization using GovTrip. Travelers should select “FAA SHUTTLE (DCA to ACY)” from the Non-Mileage Expense screen when preparing the travel authorization. Travelers must continue to make their reservation using the Shuttle Reservation System or by calling (609) 485-9812.
Do I need to provide a hard copy of my travel authorization to the shuttle operator at time of departure?
Yes, travelers must provide a hard copy of their travel authorization to the shuttle operator at time of departure. The cost of your shuttle trip will be directly charged to the line of accounting that appears on your travel authorization.
You can print a copy of your travel authorization by going into Authorizations/Orders and clicking the print button. (Be sure that you have indicated in Traveler Setup - Forms Preferences on your welcome page that you want Document History to print with your documents in order to show the digital approval of your travel authorization)
I went on a “one day” trip using the FAA Air Shuttle and didn’t incur any reimbursable expenses. How do I complete my travel documentation?
In order to close out your trip, you must cancel your travel authorization. This will ensure that any funds that may have been reserved for the trip will be released. Use the following procedure once you have returned and determined that you have no expenses:
- In GovTrip go to the Authorizations / Orders screen.
- Click on Amend, then click on OK button and select the Accept button to amend the document.
- From the “Preview Trip” screen, navigate to the “Digital Signature” screen or click on the “Save and Proceed to Pre-Audit” button and “Save and Proceed to Digital Signature” button.
- Click on the down arrow next to Submit this Document as: and select the “CANCELLED” stamp
- Enter the following into the “Additional Remarks” text box: “Travel took place however, traveler didn’t incur expenses – No Claim”
- Click on “Submit Completed Document” and “Accept”
